Upgrading ieso’s admin and user experiences through an LMS migration

ieso is a digital mental healthcare company turning real-world clinical data into products that make mental healthcare more effective and accessible than ever before. The company is developing AI- driven evidence-based mental health solutions to democratise access to mental health therapy at scale. The company currently provides typed therapy to more than 20 million adults through the UK National Health Service (NHS).

The Challenge

ieso approached us because their outdated Totara site was not providing the services and support, they needed. They were having difficulty developing new, useful resources for their counsellors, and their limited knowledge of single sign-on was generating problems with integration with their Clinical Hub. In reaction to the restrictions of their previous site, they resorted to workarounds and began to employ other tools, such as page tiger and a second WordPress site, to cover apparent gaps. Unsure on how to proceed ieso considered alternative platforms, but following deep consultation with Cortexa decided to embark on a Totara migration project.

Core elements required:

  • Reliable single sign on via Office 365 and with their Clinical Hub Easy access and search facilities for courses and resources
  • The building of flexible new audiences 
  • A partner who can work with them to develop the site and its functionality in the long term
The Solution

Data Migration and cleansing

Working with the previous partner Cortexa migrated ieso’s existing site and data onto the latest version of Totara, requiring the migration to a MySQL database through a series of upgrades. It soon became apparent that administration deterioration had resulted in overlap permissions and audiences which we resolved to reflect ieso’s current structural needs.New functionality and facilities

A major consulting piece was completed to reorganise the way the site presented information and segregated content between clinicians and counsellors. We spent time with the ieso team to bring them up to speed with the advances in the Totara product that had happened over the past three years and effectively retrain them as site administrators. We engaged with the ieso technical team to enable single sign on between the three platforms and we’re on hand to help the ieso team to familiarise themselves with the new site.

The Result

The old Totara site was very slow to administer with new courses, audience creation and resource building being unstable resulting in hours of wasted administration time and a general sense of frustration. This was then compounded by a user experience which failed to display cpd content or critical resources clearly or to provide meaningful search results.

The new Totara site, which includes the Engage module, has provided superior functionality which ensures users are greeted with a more intuitive, fast interface which provides easy navigation and a resource centre that displays pertinent content through the careful use of tagging. The effort invested by ieso administrators and Cortexa to fine-tune access to a wide range of resources and learning means that practitioners’ time spent accessing and updating information has been drastically reduced. Feedback from the practitioners also indicates that the site is much cleaner and easier to use.

IESO Key Performance Indicators

  • 871 of the total 904 users have logged in to this site in the last 3 months
  • 100% Competition rate on new staff training
  • 8 new custom built mandatory training courses for 4 different audience groups (In comparison to have to use external services previously, due to the issues with access and usability of the old Hub)
  • A new resource bank of over 100 new worksheets and resources, used daily by a network of 700 Clinicians
The Clinician Hub ticks all our boxes with its broad capabilities. The new site also looks great and is much more user-friendly! The Cortexa team were incredibly easy to communicate with during the project, and our questions were answered promptly. They understood our needs and the relationship has been a true partnership.
